How does Show Stats work?

For Everyone

Show Stats can be used by any organisation with ticketed events, whether they have direct access to the box office system or not.

It provides audience reports by show, individual performance, run or tour. To use it, you simply login and use ‘Find Production’ to identify your shows for reporting.

For National Portfolio Organisations

For National Portfolio Organisations, Show Stats provides additional benefits in meeting Arts Council England’s funding conditions and reporting requirements.

Show Stats will provide you with anonymised data from your chosen venue(s) for analysis and insight purposes. The tool is an easy way for:

  • Touring companies to request and access analysis of their audiences.
  • Receiving venues to control access to audience analytics (and add notes).

Touring companies who are required to report their audience figures to Arts Council England can generate most of their required outputs through a free Annual Audiences Report to complete their Annual Returns. The report includes:

  • Total tickets issued
  • Average ticket yield per booker
  • Top 10 postal districts
  • Advanced booking times
  • % of first-time attenders to that venue
  • Group Size
  • Audience Spectrum Breakdown

(Note: Band 2 and 3 NPOs who are required to provide info about audience demographics/protected characteristics can do so via the Audience Finder Survey).

For Museums and Galleries

As long as you have ticketed events and this data is feeding into Audience Finder, a museum or gallery can use Show Stats to understand its audiences in the same way as any other venue.

What does Show Stats cost?

There are two levels to Show Stats. In the first instance, if you are a touring organisation you can view a list of your toured productions and report on your overall audience for free. There is a small charge for the next level of access, which allows both touring and non-touring organisations to report on your productions or performances individually and custom group them to slice and dice whichever way you like.

There is a one-off yearly fee of £100 +VAT to access Enhanced Features, which is invoiced the first time you activate a production. This allows you to look at up to 10,000 tickets sold via your reports. After this, charges are 1p per ticket sold. You will see a pop-up message on your screen asking you to confirm that you want to proceed with any action that incurs a cost. Any costs incurred on reports will be billed 12 months after you signed up to Show Stats.

Free Features

  • Find Productions.

After login, you can search by financial year and venue to create a list of your productions, and request access from that venue.

  • Verification Process.

The venue at which that production data is held can review requests and approve access for all users at the requesting organisation. Please note that, although we do our best to only grant access to the tool to trusted organisations, it is the venue’s responsibility to verify whether they wish to give that organisation access to the performances requested.

  • Annual Summary Report for Touring Organisations.

If you tour you can create a report once a year that combines audience data from all your approved productions from the last full financial year, to give you an overview of your audiences for that period. Among other things, this can be used for reporting on your audiences to ACE and other funders. Remember, if your organisation has a box office system, you can report using Audience Finder.

Enhanced Features

  • Activate Productions.

After login, you can search by financial year and venue to create a list of your productions, and request access from that venue.

  • Production & Performance Reporting.

Access a list of your activated productions and run a report on either the whole production or any individual performance. You can still access the free Annual Summary Report.

  • Custom Grouping.

Use this tool to create any bespoke groupings of performances or events, e.g. according to the time of show, type of repertoire or artists performing. Note that only activated productions can be used to create groups.
